Privacy Policy — Voltora
1. Who is responsible for your data
The company that issued your login ID (your employer) is the data controller: it decides what is collected and why. Keycode Technology Pvt Ltd builds and operates the app and its servers on that company’s behalf, as a data processor.
For questions about your own records — to see them, correct them, or ask for them to be deleted — contact your employer first. Our contact details are at the end of this policy.
2. What the app collects, and why
| Data | Why it is collected | When |
|---|---|---|
| Login ID and password | To sign you in and to show only the work that is yours. Passwords are never shown in the app or stored in readable form on the device. | At sign-in |
| Precise location (GPS) | To record where attendance was marked and where a visit to a distributor or retailer took place, so visits can be confirmed. Location is recorded only at those moments. | Day start, check-in, check-out |
| Photographs taken in the app | A vehicle odometer photo at day start, a photo at check-in, and any photo you attach to a complaint or a new shop record. Used as proof of the work recorded. | Only when you take a photo |
| Odometer reading | Read from your photo on your device (Google ML Kit, on-device text recognition) to save you typing it. The image is not sent anywhere for this step. | Day start |
| Your work records | Orders, payments collected, invoices, stock, expenses, targets, visit plans, feedback and complaints you record — the ordinary content of the job. | As you use the app |
| Business contact details of shops | Shop name, owner name, phone, address and GST number of the distributors and retailers you serve. These are your employer’s business records, not personal contacts from your phone. | As you add or open them |
| Device and connection state | Whether the device is online, so the app can tell you when something could not be sent. | While in use |
3. What the app does not do
- It does not track your location in the background, or when you are not working. There is no background-location permission, and nothing is recorded after you end your day.
- It does not read your contacts, call log, SMS, photo gallery, or phone number.
- It does not place phone calls. Tapping a number opens your dialer with the number filled in; you decide whether to call.
- It contains no advertising, and no advertising or analytics SDKs.
- It does not sell or share your data with anyone for advertising or any other purpose.
- It does not collect or store card numbers, bank passwords, or UPI PINs. Payments recorded in the app are a note of money already collected in person — the app takes no payment itself.
4. Location, in plain terms
The app asks for precise location because a field visit has to be recorded where it happened. It captures a location reading at three moments only: when you start your day, when you check in at a shop, and when you check out. The reading is taken while the screen is open, and nothing runs in the background afterwards.
You can refuse the location permission. Attendance and check-in will then not work, because a visit without a place cannot be verified, but the rest of the app still opens.
5. Camera and photos
The camera is used only when you choose to take a photo in the app. The app does not browse your photo gallery and does not read existing images unless you pick one yourself. Photos you take are uploaded to your employer’s server and attached to the record they belong to.
6. Notifications
With your permission, the app shows notifications about your work — messages from the office, order approvals and reminders. You can turn these off in Android settings at any time.
7. Where the data goes and who can see it
Data is sent over an encrypted connection (HTTPS) to your employer’s Voltora server and stored there. Inside your employer’s company, who can see what depends on role: a salesman sees their own work; a Sales Manager sees their team; an Administrator sees the company.
We do not share data with third parties, except service providers strictly needed to run the service (hosting), and where the law requires it.
8. How long it is kept
Work records are business records and are kept for as long as your employer needs them, and for as long as Indian tax and company law requires. Your employer decides retention and deletion; Keycode Technology acts on their instruction.
9. Security
- All traffic between the app and the server uses HTTPS.
- Sign-in issues a token; signing out clears the session and the token from the device.
- Access is limited by role, and an account can be deactivated by an Administrator at any time.
No system is perfectly secure, but we take reasonable measures appropriate to the sensitivity of the data.
10. Children
Voltora is a workplace tool for employees and business partners. It is not directed at children and is not intended for anyone under 18.
11. Your rights
You may ask to see, correct, or delete the data held about you. Because your employer controls that data, please make the request to them. If you cannot reach them, contact us and we will help identify the right controller.
12. Changes to this policy
If this policy changes, the new version will be published at this address with a new “last updated” date. Significant changes will also be notified in the app.
